Welcome to XTRAVEL LLC
At XTRAVEL, we believe travel is more than reaching a destination—it is about creating unforgettable experiences with confidence, transparency, and personalized service.These Terms of Service explain how we work with you, what you can expect from us, and the responsibilities that apply to every travel reservation.
We encourage you to read these Terms carefully before requesting a quotation or confirming a reservation.
By using our website, requesting travel planning services, approving a reservation, or making any payment through XTRAVEL, you acknowledge that you have read, understood, and accepted these Terms of Service.
If you do not agree with these Terms, you should not use our services.
CHAPTER 1
Working With XTRAVEL
1. About XTRAVEL
XTRAVEL is an independent travel advisory brand dedicated to designing personalized travel experiences for individuals, couples, families, groups, and businesses.
Our services may include travel planning, destination consulting, hotel and resort reservations, cruise bookings, vacation packages, flights, transportation arrangements, tours, travel insurance referrals, and other travel-related services.
Every itinerary is created with care and attention to detail. Our goal is to simplify the travel planning process while helping our clients make informed decisions based on their individual preferences, budget, and travel goals.
2. Our Role
XTRAVEL acts exclusively as an independent travel advisor and booking intermediary.
We do not own, operate, manage, control, or supervise airlines, hotels, resorts, cruise lines, transportation companies, tour operators, insurance companies, destination management companies, vacation providers, or any other travel supplier.
Each supplier operates independently and remains solely responsible for the products and services it provides.
Our responsibility is limited to assisting our clients in researching, planning, arranging, and confirming travel reservations based on the information provided by both the client and the travel supplier.
3. Independent Travel Suppliers
All travel products offered through XTRAVEL are provided by independent third-party suppliers.
These suppliers establish their own:
-
prices;
-
availability;
-
schedules;
-
cancellation policies;
-
refund rules;
-
baggage policies;
-
seating policies;
-
room categories;
-
health requirements;
-
operational procedures.
Because these services are provided by independent companies, XTRAVEL cannot guarantee their availability, quality, performance, safety, cleanliness, staffing, maintenance, schedules, amenities, or operational decisions.
Any claim relating to the actual delivery of travel services must ultimately be addressed by the supplier responsible for providing those services.
4. Quotes, Pricing & Availability
All quotations provided by XTRAVEL are estimates based on information supplied by independent travel providers at the time the quotation is prepared.
Prices may change at any time before payment is received and the reservation has been confirmed.
Travel prices may increase or decrease because of:
-
supplier pricing updates;
-
promotional changes;
-
exchange-rate fluctuations;
-
fuel surcharges;
-
government taxes;
-
airport fees;
-
port charges;
-
supplier inventory;
-
seasonal demand;
-
occupancy changes;
-
airfare availability.
A quotation does not constitute a reservation and does not guarantee availability or pricing.
Reservations become confirmed only after payment has been successfully processed and the supplier has issued written confirmation.
5. Travel Planning Services
Every travel recommendation provided by XTRAVEL is based on the information available at the time of planning and on the preferences communicated by the client.
Although we strive to recommend travel options that best match your expectations, travel experiences remain subjective.
Descriptions, ratings, photographs, amenities, destination information, and promotional materials are supplied by independent providers or publicly available sources and may change without prior notice.
For this reason, XTRAVEL cannot guarantee that every aspect of a travel experience will exactly match a client's personal expectations.
6. Your Responsibilities
By working with XTRAVEL, you agree to:
-
provide complete and accurate information;
-
carefully review every quotation before approval;
-
verify all names exactly as shown on government-issued travel documents;
-
review every confirmation immediately after receiving it;
-
notify XTRAVEL promptly of any errors;
-
comply with all supplier requirements;
-
comply with all immigration, customs, health, and security regulations;
-
obtain all required travel documentation before departure.
Failure to review reservation documents promptly may result in additional costs, supplier penalties, or the inability to correct errors.
7. Communication
XTRAVEL believes that clear communication is essential to a successful travel experience.
Clients are responsible for providing accurate contact information, including email addresses and telephone numbers, and for reviewing all communications sent by XTRAVEL.
Important travel information—including quotations, invoices, confirmations, payment reminders, itinerary updates, supplier notices, and travel documents—may be delivered electronically.
Failure to review these communications does not relieve the client of their responsibilities under these Terms of Service.
CHAPTER 2
Your Reservation
Planning a trip is a collaborative process. While XTRAVEL is committed to providing accurate guidance and personalized service, every traveler also has important responsibilities throughout the booking process.
This chapter explains how reservations are created, confirmed, modified, and managed.
8. Reservation Requests
A travel inquiry or quotation request does not create a reservation.
Reservations are considered confirmed only after:
-
the requested services are available;
-
all required traveler information has been received;
-
any required payment has been successfully processed;
-
the travel supplier has issued its confirmation.
Until confirmation has been received, prices, availability, itineraries, room categories, cabin categories, airfare, schedules, and promotional offers remain subject to change.
XTRAVEL cannot guarantee supplier inventory before confirmation.
9. Traveler Information
Clients are responsible for providing complete, accurate, and current information for every traveler included in a reservation.
This includes, but is not limited to:
-
Full legal name exactly as shown on government-issued travel documents
-
Date of birth
-
Gender (when required)
-
Nationality
-
Passport information
-
Contact information
-
Emergency contact information
-
Loyalty program numbers (if applicable)
-
Special assistance requests
Failure to provide accurate information may result in denied boarding, denied entry, cancellation of services, supplier penalties, or additional costs.
XTRAVEL is not responsible for errors resulting from inaccurate or incomplete information provided by the client.
10. Name Verification
Names appearing on airline tickets, cruise documents, hotel reservations, visas, and other travel documents must exactly match the traveler's government-issued identification.
Clients are responsible for carefully reviewing all names before authorizing a reservation and immediately after receiving confirmation documents.
Corrections requested after ticket issuance or supplier confirmation may result in supplier fees, fare differences, cancellation penalties, or complete loss of the reservation.
Whenever permitted by the supplier, XTRAVEL will assist in requesting corrections; however, approval remains solely at the supplier's discretion.
11. Review of Confirmation Documents
Upon receiving any quotation, itinerary, invoice, reservation confirmation, airline ticket, cruise confirmation, hotel voucher, or travel document, clients must carefully review every detail.
Particular attention should be given to:
-
Traveler names
-
Dates
-
Destinations
-
Flight numbers
-
Airports
-
Hotel names
-
Room categories
-
Cruise itineraries
-
Passenger count
-
Included services
-
Prices
-
Payment schedule
Any discrepancy should be reported to XTRAVEL immediately.
Failure to promptly report errors may limit available correction options and may result in additional supplier charges.
12. Payments
Payment deadlines are established by each travel supplier.
Clients agree to submit all required payments before the applicable due dates.
Failure to make timely payments may result in:
-
automatic cancellation;
-
loss of promotional pricing;
-
supplier cancellation penalties;
-
forfeiture of deposits;
-
increased travel costs.
XTRAVEL is not responsible for reservations cancelled because required payments were not received on time.
13. Payment Authorization
By submitting payment information or otherwise authorizing payment, the client authorizes XTRAVEL and/or the applicable travel supplier to process charges using the approved payment method.
Charges may appear under the name of:
-
XTRAVEL
-
the travel supplier;
-
a wholesaler;
-
a payment processor;
-
another authorized booking entity.
The client represents that they are authorized to use the payment method provided.
Fraudulent transactions may be reported to the appropriate financial institutions and law enforcement authorities.
14. Agency Service Fees
XTRAVEL may charge professional service fees for:
-
travel planning;
-
itinerary design;
-
consultation services;
-
reservation management;
-
research;
-
supplier coordination;
-
booking modifications;
-
cancellation assistance;
-
administrative services.
Unless otherwise stated in writing, agency service fees compensate XTRAVEL for professional services already performed and may be non-refundable even when travel suppliers issue partial or full refunds.
Any applicable service fees will be disclosed before payment is authorized.
15. Reservation Modifications
Requests to change an existing reservation are subject to:
-
supplier availability;
-
supplier approval;
-
applicable fare differences;
-
supplier change fees;
-
agency service fees.
Modification requests cannot be guaranteed.
Changes to one portion of a reservation may affect other components of the itinerary, including pricing, availability, promotions, transportation schedules, accommodations, and travel insurance coverage.
16. Special Requests
XTRAVEL is pleased to forward special requests to travel suppliers.
Examples include:
-
adjoining rooms;
-
connecting rooms;
-
king or twin beds;
-
accessible accommodations;
-
dietary requests;
-
anniversary celebrations;
-
honeymoon amenities;
-
birthday arrangements;
-
early check-in;
-
late check-out;
-
cabin location;
-
room location.
These requests are transmitted as a courtesy.
Unless confirmed directly by the supplier in writing, special requests cannot be guaranteed.
17. Reservation Acceptance
A reservation shall be considered accepted when any of the following occurs:
-
the client authorizes payment;
-
payment is received;
-
the reservation is confirmed by the supplier;
-
the client accepts a written quotation;
-
the client instructs XTRAVEL to proceed with the booking through email, text message, WhatsApp, electronic signature, or any other verifiable communication.
Such authorization constitutes acceptance of these Terms of Service and of any applicable supplier terms and conditions.
CHAPTER 3
Travel Suppliers & Your Journey
Travel experiences are made possible through the services of independent travel suppliers around the world.
XTRAVEL carefully selects and coordinates travel arrangements based on your preferences; however, the actual travel services are provided by independent companies operating under their own policies and procedures.
The following sections explain how supplier relationships work and what responsibilities belong to each party.
18. Independent Travel Suppliers
XTRAVEL serves as an independent travel advisor and booking intermediary.
Travel services purchased through XTRAVEL are provided by independent third-party suppliers, including but not limited to:
-
Airlines
-
Hotels
-
Resorts
-
Cruise lines
-
Tour operators
-
Transportation providers
-
Vacation package companies
-
Destination management companies
-
Insurance providers
-
Ground transportation companies
-
Activity providers
-
Attraction operators
Each supplier operates independently and maintains exclusive control over its services, facilities, personnel, equipment, schedules, pricing, operational policies, and customer service.
XTRAVEL does not own, operate, supervise, or control these suppliers.
19. Supplier Responsibility
Each supplier remains solely responsible for the products and services it provides.
This includes, but is not limited to:
-
transportation;
-
accommodations;
-
excursions;
-
cruises;
-
meals;
-
entertainment;
-
baggage handling;
-
customer service;
-
maintenance;
-
safety procedures;
-
staffing;
-
accessibility;
-
operational decisions.
Questions or claims concerning the actual delivery of travel services must ultimately be addressed to the applicable supplier.
Whenever possible, XTRAVEL will gladly assist clients in communicating with suppliers to help facilitate a resolution.
20. Changes Made by Suppliers
Travel suppliers may modify their services before or during your trip.
Examples include:
-
flight schedules;
-
aircraft changes;
-
gate changes;
-
hotel substitutions;
-
room assignments;
-
cruise itineraries;
-
ports of call;
-
transportation providers;
-
operating hours;
-
excursions;
-
resort amenities.
Such changes are outside the reasonable control of XTRAVEL.
Whenever we receive updated information from the supplier, we will make reasonable efforts to notify you promptly.
21. Flight Delays, Cancellations & Missed Connections
Airlines maintain sole responsibility for:
-
flight schedules;
-
delays;
-
cancellations;
-
missed connections;
-
aircraft substitutions;
-
baggage handling;
-
seating assignments;
-
boarding decisions.
Clients are encouraged to verify their flight schedules directly with the airline before departure.
If travel disruptions occur, travelers should immediately contact both the airline and XTRAVEL so we may assist whenever reasonably possible.
While we are committed to helping our clients during unexpected travel disruptions, final decisions remain with the airline.
22. Hotels & Accommodations
Hotel descriptions, photographs, ratings, amenities, room sizes, and resort information are supplied by the hotel or other independent sources.
Because standards vary between destinations and countries, hotel star ratings should be considered general references rather than guarantees of quality or specific amenities.
Room assignments, views, floor location, bedding configuration, accessibility features, and similar requests remain subject to hotel availability at check-in.
23. Cruises
Cruise lines may modify:
-
itineraries;
-
ports of call;
-
embarkation times;
-
disembarkation procedures;
-
onboard activities;
-
dining schedules;
-
entertainment;
-
cabin assignments;
-
operating policies.
These operational decisions remain entirely within the authority of the cruise line.
XTRAVEL cannot guarantee that originally published itineraries or onboard experiences will remain unchanged.
24. Excursions & Activities
Excursions, tours, transportation services, recreational activities, and optional experiences are generally operated by independent providers.
Participation in these activities is voluntary.
Clients assume responsibility for determining whether an activity is appropriate based on their own physical condition, health, experience, mobility, and personal circumstances.
XTRAVEL is not responsible for the operational performance or safety procedures of independent excursion providers.
25. Special Events & Seasonal Conditions
Travel experiences may be affected by circumstances beyond the control of both XTRAVEL and the supplier.
Examples include:
-
seasonal weather;
-
hurricanes;
-
tropical storms;
-
snowfall;
-
volcanic activity;
-
beach erosion;
-
sargassum;
-
wildlife activity;
-
local festivals;
-
construction projects;
-
maintenance work;
-
government restrictions.
These circumstances do not necessarily constitute supplier failure and may not entitle travelers to refunds or compensation.
26. If Something Goes Wrong During Your Trip
If you experience a problem during your travels, we recommend that you:
-
Notify the supplier immediately.
-
Request that the issue be documented.
-
Keep photographs whenever appropriate.
-
Retain receipts for any additional expenses.
-
Contact XTRAVEL as soon as reasonably possible.
Prompt reporting often allows suppliers to resolve issues while you are still traveling and helps preserve any rights that may exist under supplier policies.
CHAPTER 4
Payments, Cancellations & Refunds
Travel arrangements often involve multiple suppliers, each operating under its own financial policies.
For this reason, payment deadlines, cancellation penalties, supplier credits, and refund eligibility vary depending on the services purchased.
The following sections explain how payments are processed and how cancellations and refunds are handled through XTRAVEL.
27. Payment Deadlines
Payment schedules are established by the applicable travel supplier.
Some reservations require:
-
full payment at the time of booking;
-
a non-refundable deposit;
-
installment payments;
-
final payment by a specified due date.
Clients are solely responsible for ensuring that all required payments are received before the applicable deadlines.
Failure to meet payment deadlines may result in:
-
automatic cancellation;
-
supplier penalties;
-
forfeiture of deposits;
-
increased pricing;
-
loss of promotional rates;
-
cancellation of optional services.
XTRAVEL is not responsible for reservations cancelled because required payments were not received on time.
28. Deposits
Certain reservations require deposits to secure travel arrangements.
Unless otherwise stated in writing:
-
deposits are governed by supplier policies;
-
deposits may be non-refundable;
-
deposits may become partially refundable;
-
deposits may be applied toward the final balance.
Payment of a deposit constitutes authorization for XTRAVEL to proceed with the reservation according to the supplier's booking requirements.
29. Final Payment
When a supplier establishes a final payment deadline, failure to complete payment before that date may result in immediate cancellation of the reservation.
Once cancelled by the supplier, promotional pricing, inventory, room categories, airfare, cruise cabins, or package availability may no longer be available.
XTRAVEL cannot reinstate cancelled reservations unless permitted by the supplier.
30. Agency Professional Fees
XTRAVEL may charge professional service fees separate from the cost of travel services.
These fees compensate XTRAVEL for services including:
-
travel planning;
-
destination research;
-
itinerary design;
-
reservation management;
-
supplier coordination;
-
booking administration;
-
consultation services;
-
modification assistance;
-
cancellation assistance.
Unless otherwise disclosed in writing, agency professional fees are considered earned once the corresponding services have been performed.
Agency fees are generally non-refundable, even when suppliers issue refunds for travel services.
31. Cancellation Requests
Cancellation requests must be submitted directly to XTRAVEL in writing.
A cancellation request is considered received on the date and time it reaches XTRAVEL through an approved communication channel.
Verbal cancellation requests may require written confirmation before processing.
Submitting a cancellation request does not guarantee eligibility for a refund.
32. Supplier Cancellation Policies
Every supplier establishes its own cancellation policy.
Depending on the reservation, cancellation penalties may range from:
-
administrative fees;
-
partial forfeiture;
-
complete loss of payment.
Some reservations are:
-
non-refundable;
-
non-transferable;
-
non-changeable.
XTRAVEL has no authority to override supplier cancellation policies.
33. Refund Processing
Whenever a supplier approves a refund, processing times vary according to:
-
supplier procedures;
-
banks;
-
payment processors;
-
credit card companies.
Refunds may require several weeks to appear on the original payment method.
XTRAVEL does not control supplier refund processing times.
34. Future Travel Credits
Some suppliers issue future travel credits instead of monetary refunds.
When offered, these credits remain subject to:
-
supplier rules;
-
expiration dates;
-
transfer restrictions;
-
booking conditions.
XTRAVEL cannot modify supplier credit policies.
35. Pricing Errors
Despite our commitment to accuracy, pricing errors occasionally occur because supplier inventory and pricing change continuously.
If an obvious pricing error is identified before confirmation, XTRAVEL reserves the right to cancel or correct the quotation before payment is processed.
If the supplier declines to honor an incorrect fare or price, XTRAVEL will promptly notify the client and offer available alternatives whenever possible.
36. Currency Exchange
International travel services may be priced in foreign currencies.
Exchange rates fluctuate continuously.
Final charges may differ slightly from quoted estimates due to:
-
currency fluctuations;
-
banking fees;
-
payment processor adjustments;
-
supplier exchange calculations.
XTRAVEL does not control exchange rates.
37. Credit Card Chargebacks
Before initiating a chargeback, clients agree to contact XTRAVEL and allow a reasonable opportunity to investigate and resolve the matter.
Many travel-related disputes originate from supplier policies rather than billing errors.
Improper chargebacks may delay resolution with suppliers and could affect the traveler's eligibility for future reservations.
Nothing in this section limits any rights a consumer may have under applicable law.
38. Fraud Prevention
To protect both clients and XTRAVEL, we reserve the right to request reasonable identity verification before processing certain reservations or payments.
Verification may include:
-
government-issued identification;
-
confirmation of billing information;
-
payment authorization forms;
-
communication with the cardholder.
If fraud is reasonably suspected, XTRAVEL may suspend or decline the transaction until verification has been completed.
CHAPTER 5
Before You Travel
International travel requires careful preparation. Every destination has its own immigration, customs, health, and entry requirements, which may change without notice.
While XTRAVEL is always happy to provide general travel guidance, every traveler remains responsible for ensuring they meet all legal requirements before departure.
The following sections explain your responsibilities prior to travel.
39. Passports
Every traveler is solely responsible for obtaining and carrying a valid passport when required.
Many destinations require passports to remain valid for several months beyond the scheduled return date.
Because these requirements vary by country and may change without notice, travelers should verify passport validity directly with the appropriate government authorities before departure.
XTRAVEL does not verify passport expiration dates and cannot be responsible for denied boarding or denied entry resulting from expired or insufficiently valid travel documents.
40. Visas & Entry Requirements
Certain destinations require visas, electronic travel authorizations, permits, or other immigration documentation.
It is each traveler's responsibility to determine and obtain all required documentation before departure.
Although XTRAVEL may provide general information regarding entry requirements, immigration laws frequently change and final admission decisions remain exclusively with the appropriate governmental authorities.
XTRAVEL cannot guarantee:
-
visa approval;
-
entry into any country;
-
permission to board;
-
immigration clearance;
-
customs approval;
-
re-entry into the traveler's country of residence.
-
41. Government Travel Requirements
Government authorities may establish temporary or permanent travel requirements, including:
-
entry permits;
-
vaccination requirements;
-
health declarations;
-
customs declarations;
-
arrival forms;
-
security screenings;
-
biometric requirements;
-
digital travel authorizations.
Travelers are responsible for monitoring official government announcements before departure.
Failure to comply with government requirements may result in denied boarding or denied entry.
42. Health Requirements
Certain destinations may require:
-
vaccinations;
-
health certificates;
-
medical documentation;
-
prescription documentation;
-
proof of medical insurance;
-
other public health requirements.
Travelers are responsible for consulting qualified medical professionals regarding recommended vaccinations or other health precautions before travel.
Medical advice provided by third parties should not be interpreted as medical guidance from XTRAVEL.
43. Travel Insurance
Because unexpected events can occur before or during any trip, XTRAVEL strongly recommends purchasing comprehensive travel insurance.
Travel insurance may provide valuable protection for situations including:
-
trip cancellation;
-
trip interruption;
-
medical emergencies;
-
emergency evacuation;
-
lost baggage;
-
travel delays;
-
supplier financial default;
-
accidental injury.
Coverage varies by insurer and policy.
Travelers should carefully review policy terms, exclusions, limitations, and claim procedures before purchasing insurance.
44. Declining Travel Insurance
If a traveler chooses not to purchase travel insurance, they acknowledge that they voluntarily assume the financial risks associated with unforeseen events that may affect their travel plans.
These events may include, but are not limited to:
-
illness;
-
injury;
-
family emergencies;
-
severe weather;
-
natural disasters;
-
supplier bankruptcy;
-
flight cancellations;
-
government restrictions;
-
non-refundable travel arrangements.
XTRAVEL shall not be responsible for losses that could have been covered under an available travel insurance policy.
45. Travel Advisories
Government agencies regularly publish travel advisories for destinations around the world.
These advisories may concern:
-
civil unrest;
-
crime;
-
natural disasters;
-
political instability;
-
public health concerns;
-
weather conditions;
-
transportation disruptions.
Travelers are encouraged to review official government travel advisories before departure and throughout their trip.
XTRAVEL cannot predict or control future conditions affecting any destination.
46. Special Assistance
Travelers requiring special accommodations should notify XTRAVEL as early as possible.
Examples include:
-
wheelchair assistance;
-
mobility accommodations;
-
visual impairments;
-
hearing impairments;
-
dietary requirements;
-
medical equipment;
-
oxygen requirements;
-
pregnancy-related accommodations.
While XTRAVEL will gladly communicate these requests to suppliers, approval and availability remain entirely subject to supplier policies.
47. Traveling With Minors
Parents, legal guardians, or accompanying adults remain responsible for ensuring that minors possess all documentation required by airlines, cruise lines, immigration authorities, and destination countries.
Some destinations require:
-
notarized parental consent;
-
custody documentation;
-
birth certificates;
-
court orders;
-
additional identification.
Travelers should verify these requirements before departure.
48. Responsibility Before Departure
Before beginning any trip, travelers should confirm:
-
passport validity;
-
visas;
-
flight schedules;
-
hotel confirmations;
-
cruise documents;
-
baggage policies;
-
travel insurance;
-
emergency contact information;
-
required medications;
-
transportation arrangements.
Careful preparation helps reduce travel disruptions and contributes to a smoother travel experience.
CHAPTER 6
During Your Journey
Although XTRAVEL carefully plans every itinerary, travel is dynamic by nature. Airlines adjust schedules, hotels may experience operational changes, cruise itineraries may be modified, and unexpected events can occur.
Whenever possible, XTRAVEL will make reasonable efforts to assist travelers before, during, and after their journey. However, certain situations remain outside our reasonable control.
This chapter explains how those situations are handled.
49. Travel Disruptions
Travel may occasionally be affected by circumstances that cannot be predicted or prevented.
Examples include:
-
flight delays;
-
missed connections;
-
airport congestion;
-
transportation interruptions;
-
cruise schedule adjustments;
-
weather conditions;
-
supplier operational decisions.
When possible, XTRAVEL will assist travelers in coordinating with the appropriate supplier.
Final operational decisions always remain with the travel supplier.
50. Supplier Changes During Travel
Independent travel suppliers may modify services after a reservation has been confirmed.
These modifications may include:
-
hotel substitutions;
-
room assignments;
-
aircraft changes;
-
itinerary adjustments;
-
port substitutions;
-
excursion cancellations;
-
transportation changes;
-
operating hours.
Such modifications remain solely within the authority of the supplier.
Whenever practical, XTRAVEL will communicate updates received from suppliers as quickly as possible.
51. Baggage
Checked baggage, carry-on baggage, delayed baggage, damaged baggage, and lost baggage remain the responsibility of the airline or other transportation provider.
Travelers should report baggage issues directly to the transportation provider before leaving the airport, terminal, cruise port, or station.
XTRAVEL may assist travelers in locating the appropriate contact information but cannot investigate or resolve baggage claims on behalf of transportation providers.
52. Hotel Concerns
If travelers experience concerns regarding accommodations, they should immediately notify hotel management while on property.
Examples include:
-
housekeeping issues;
-
maintenance concerns;
-
room assignments;
-
noise;
-
amenities;
-
cleanliness;
-
accessibility.
Prompt notification often allows hotels to correct issues during the stay.
If additional assistance is needed, travelers are encouraged to contact XTRAVEL as soon as reasonably possible.
53. Cruise Itinerary Changes
Cruise itineraries are subject to change due to operational, weather, safety, governmental, or port authority decisions.
Possible changes include:
-
cancelled ports;
-
substituted ports;
-
altered departure times;
-
revised arrival times;
-
onboard schedule changes;
-
entertainment changes.
Such decisions remain entirely within the discretion of the cruise line.
XTRAVEL cannot guarantee that every advertised itinerary will be completed exactly as originally published.
54. Excursions & Optional Activities
Many excursions and optional activities are operated by independent local providers.
Participation is entirely voluntary.
Travelers should carefully evaluate whether each activity is appropriate for their physical condition, experience, and personal comfort level.
XTRAVEL does not supervise or control independent excursion operators and cannot guarantee the safety, quality, or performance of optional activities.
55. Weather & Natural Conditions
Travel experiences may be affected by natural conditions beyond anyone's control.
Examples include:
-
hurricanes;
-
tropical storms;
-
earthquakes;
-
flooding;
-
snowfall;
-
volcanic activity;
-
strong winds;
-
heavy rain;
-
extreme temperatures;
-
ocean conditions;
-
beach erosion;
-
sargassum.
Such conditions do not necessarily constitute supplier failure and may affect the availability or enjoyment of certain travel services.
56. Force Majeure
XTRAVEL shall not be liable for delays, interruptions, cancellations, additional expenses, or inability to perform services resulting from events beyond our reasonable control.
Such events include, but are not limited to:
-
natural disasters;
-
severe weather;
-
epidemics;
-
pandemics;
-
war;
-
terrorism;
-
civil unrest;
-
labor disputes;
-
governmental actions;
-
border closures;
-
transportation disruptions;
-
power failures;
-
cyberattacks affecting suppliers;
-
supplier insolvency;
-
other extraordinary circumstances.
Whenever reasonably possible, XTRAVEL will assist travelers in communicating with suppliers and identifying available alternatives.
Any refunds, credits, or compensation remain subject to the policies of the applicable supplier.
57. Emergency Assistance
If a traveler experiences an unexpected emergency while traveling, XTRAVEL will make reasonable efforts, during normal business operations, to assist in coordinating communication with suppliers whenever possible.
Examples include:
-
flight disruptions;
-
hotel issues;
-
transportation concerns;
-
itinerary clarification;
-
supplier contact assistance.
Emergency assistance provided by XTRAVEL does not replace emergency services, law enforcement, medical providers, insurance companies, or governmental authorities.
Travelers should immediately contact local emergency services whenever urgent medical, safety, or security assistance is required.
58. Our Commitment to You
At XTRAVEL, we believe exceptional service extends beyond booking a trip.
Whenever possible, we remain available to assist our clients throughout their travel experience by providing guidance, helping facilitate communication with suppliers, and supporting reasonable efforts to resolve unexpected situations.
While we cannot control the actions of independent travel providers or unforeseen events, we are committed to delivering professional service, honest communication, and personalized assistance before, during, and after every journey.
CHAPTER 7
Legal Information & Your Rights
At XTRAVEL, we believe transparency builds trust.
This chapter explains important legal information regarding your relationship with XTRAVEL, the use of our website, your privacy, and how any legal matters relating to our services may be handled.
Our goal is not to limit your rights, but to clearly explain the responsibilities of both parties while maintaining a fair and transparent relationship.
59. Limitation of Liability
To the fullest extent permitted by applicable law, XTRAVEL shall not be liable for indirect, incidental, consequential, special, exemplary, punitive, or speculative damages arising out of or relating to travel services arranged through our agency.
This includes, without limitation:
-
loss of enjoyment;
-
loss of business opportunities;
-
lost income;
-
emotional distress;
-
inconvenience;
-
additional travel expenses;
-
missed events;
-
missed business meetings;
-
missed connections;
-
lost vacation time.
Nothing in these Terms excludes liability where such exclusion is prohibited by applicable law.
60. Maximum Liability
If XTRAVEL is found legally responsible for damages resulting solely from its own negligence in providing travel advisory services, our maximum liability shall not exceed the amount of professional service fees actually paid directly to XTRAVEL for the reservation giving rise to the claim.
Amounts paid directly to airlines, hotels, cruise lines, tour operators, insurance companies, wholesalers, or other suppliers are excluded from this limitation because those services are provided independently.
61. Indemnification
You agree to indemnify, defend, and hold harmless XTRAVEL, its owners, employees, independent contractors, affiliates, representatives, and business partners from any claims, liabilities, losses, damages, costs, or reasonable legal expenses arising from:
-

REFUND & CANCELLATION POLICY XTRAVEL LLC
Refund, Cancellation & Booking Changes Policy
Version 1.0
Welcome
At XTRAVEL, we understand that travel plans sometimes change.
Unexpected situations, family emergencies, weather conditions, airline schedule changes, or personal circumstances may require travelers to cancel or modify their reservations.
Because every travel supplier establishes its own cancellation and refund rules, this policy explains how cancellations, changes, travel credits, and refunds are handled when booking through XTRAVEL.
Our goal is to provide clear expectations before a reservation is confirmed.
CHAPTER 1
Understanding Our Role
1. Independent Travel Suppliers
XTRAVEL is an independent travel advisor.
We do not own or operate airlines, hotels, cruise lines, resorts, tour operators, transportation providers, vacation package companies, or other travel suppliers.
Every supplier establishes its own:
-
cancellation rules;
-
refund policies;
-
payment deadlines;
-
change fees;
-
travel credit programs.
These policies vary widely from one supplier to another.
2. Supplier Policies
When you purchase travel through XTRAVEL, your reservation becomes subject to both:
-
XTRAVEL's policies; and
-
the policies established by the applicable travel supplier.
Where supplier policies differ from XTRAVEL's general practices, the supplier's policy will govern the travel services it provides.
CHAPTER 2
Cancellation Requests
3. How to Cancel
Cancellation requests must be submitted directly to XTRAVEL in writing.
Requests may be sent by:
-
Email
-
WhatsApp
-
Other written communication approved by XTRAVEL
A cancellation request is considered received only after it has been acknowledged by XTRAVEL.
Telephone calls alone do not constitute official cancellation requests unless confirmed in writing.
4. Cancellation Processing
After receiving your request, XTRAVEL will:
-
review your reservation;
-
identify the applicable supplier policies;
-
determine any penalties;
-
communicate available options;
-
submit cancellation requests to the supplier when applicable.
Cancellation processing times vary according to each supplier.
5. Effective Date of Cancellation
Supplier penalties are generally calculated based on the date and time the supplier receives the cancellation request.
Delays in requesting cancellation may increase applicable penalties.
For this reason, travelers are encouraged to contact XTRAVEL immediately if travel plans change.
CHAPTER 3
Refunds
6. Refund Eligibility
Refund eligibility depends entirely upon:
-
supplier policies;
-
fare rules;
-
promotional conditions;
-
reservation type;
-
timing of cancellation.
Some reservations are:
-
fully refundable;
-
partially refundable;
-
non-refundable.
XTRAVEL cannot override supplier refund policies.
7. Refund Processing Times
If a supplier approves a refund, processing times vary depending on:
-
the supplier;
-
the payment processor;
-
the issuing bank;
-
the credit card company.
Refunds may require several weeks before appearing on your original payment method.
XTRAVEL does not control refund processing times.
8. Future Travel Credits
Some suppliers may issue travel credits instead of monetary refunds.
These credits remain subject to:
-
expiration dates;
-
transfer restrictions;
-
supplier conditions;
-
booking limitations.
Travel credits are governed exclusively by the supplier issuing them.
CHAPTER 4
Reservation Changes
9. Modification Requests
Reservation changes may include:
-
travel dates;
-
traveler names (if permitted);
-
destinations;
-
hotels;
-
cruise sailings;
-
flights;
-
room categories.
Every requested modification remains subject to:
-
supplier approval;
-
availability;
-
fare differences;
-
supplier fees;
-
agency service fees.
Changes cannot be guaranteed.
10. Supplier Fees
Many suppliers charge fees for:
-
cancellations;
-
itinerary changes;
-
rebooking;
-
name corrections;
-
ticket reissuance.
These fees are determined solely by the supplier.
CHAPTER 5
Agency Service Fees
11. Professional Services
XTRAVEL invests professional time and expertise in:
-
destination research;
-
itinerary planning;
-
reservation management;
-
supplier coordination;
-
consultation;

booking administration.
Agency service fees compensate XTRAVEL for these professional services.
Unless otherwise disclosed in writing, agency service fees are generally non-refundable once the related services have been performed.
12. No-Show Reservations
If a traveler fails to:
-
arrive at the airport;
-
check into a hotel;
-
board a cruise;
-
participate in prepaid services;
the reservation may be considered a No-Show by the supplier.
No-Show reservations frequently result in the loss of all payments.
XTRAVEL cannot reverse supplier No-Show decisions.
CHAPTER 6
Travel Insurance
13. Why Travel Insurance Matters
Many financial losses associated with travel cancellations can be reduced through appropriate travel insurance.
For this reason, XTRAVEL strongly recommends purchasing comprehensive travel insurance.
Depending on the policy purchased, travel insurance may provide benefits for:
-
cancellations;
-
interruptions;
-
illness;
-
weather events;
-
medical emergencies;
-
supplier financial default;
-
baggage loss.
Coverage depends entirely on the insurance policy.
14. If You Decline Insurance
Travelers who decline travel insurance acknowledge that they assume the financial risks associated with unexpected events that may affect their travel plans.
XTRAVEL is not responsible for losses that might otherwise have been covered under an available travel insurance policy.
